Here is Our detailed photo quilt creation process from beginning to end.
1. Submit your order from our website.
2. We send an Automated Order Confirmation by e-mail followed by a Personal Order Confirmation.
Your personal order confirmation will contain lots of information, such as: partial payment amount, total costs, shipping cost, photo and upload information, our business mailing address, payment information (checks, credit card etc.), photo suggestions, references to your personal web page and a request for partial payment.
3. We Confirm and Schedule your order by receiving and acknowledging your partial payment.
We must receive your partial payment to confirm, create your personal web page and schedule your order.
If paying by credit card, use the Credit Card Payment menu on our website. We process all credit cards, debit and e-check payments through PayPal. You DO NOT have to create a PayPal account. PayPal is our safe, secure credit card processing company. If paying by check, it may take up to 7 days for banks to clear payment.
We create your personal web page, and forward the link to you via e-mail in about 1 business day or less. We will NEVER ask for financial information in an e-mail.
5. Change your photo layout until approved by you.
6. Receive basic fabric colors: When appropriate, we will display fabric selections, based on your color choices, on your web page for your approval well prior to starting your creation.
7. Construction Process: (We do not start construction until we have received your photo layout and fabric confirmation)
8. Send completion notice with any balance due via e-mail, with a request to re-verify the shipping address.
9. Receive any balance due on your creation. We do not ship until we have received the balance due on your order and your shipping address has been re-confirmed.
10. Ship finished Memory Creation to you. We ship via USPS Priority with delivery confirmation. You will receive a shipping/tracking notice soon after your package has been picked up. Your shipping notice will contain a delivery confirmation tracking number.... and we look forward to hearing from you when your special creation arrives.
Delivery Times: Delivery of your photo quilt is contingent on our current workload. Rush service is available at an additional charge. We work hard to make sure your Photo Quilt Creation is delivered to you when you want it. Delivery time is calculated from the time we receive your photographs, fabric selection confirmation and photo layout approval. See our main page for an approximate current delivery time.
Fabric Colors: Fabric color choices are made by the customer. We will help and make lots of suggestions if you wish. We provide a Basic Color Choice Submission Form on your personal web page to assist you in telling us the basic color choices you prefer. This is only a starting point and gives us a good idea of what you like. We will display fabrics, based on your color choices, on your personal web page for you to see and approve prior to starting your photo quilt. There is also a comments section for you to add notes. If you are not sure, we will help you every step of the way with suggestions. We try to make this process easy.
Fabric Selection: Fabrics are selected by the customer. We will display a fabric selection, based on your color choices, on your personal web page for you to see and approve before starting your creation. Photo Quilt Fabrics are selected from stock or locally purchased. Special order fabrics are available at an additional charge.
Embroidery and Monogramming: Adding Embroidery or Monogram Designs to your photo memory quilt creation gives a beautiful personal touch to your Memory Creation. Adding embroidery or monogramming to your photo quilt creation is quick and easy.
Just check that you may want to add monogramming or embroidery on your order form and we will contact you via e-mail or telephone to determine what wording or design you want placed on your quilt. We will show you examples of the monogramming or embroidery on your personal web page before we start the monogramming process.
If you have a design in mind, we can probably accommodate you. There may be small additional charges for embroidery and monogramming services. Generally, up to 3 photos can be replaced with monogramming or embroidery without additional charge. Space is limited. For more information see our Embroidery and Monogramming examples page.
Order Cancellation: Due to the amount of setup required, Quiltstories.com charges a $25.00 fee to cancel your order after we have created your personal web page and prior to photo/fabric printing. We charge 25% of the photo quilt price (not including shipping) to cancel your order after we have fabric printed your photos. We cannot accept cancellations after we have cut fabric for your photo quilt order. If circumstances require a delay, we will be most happy to place your order on hold for a period not to exceed 6 months. If you have an unusual circumstance, please let us know and we will work with you any way we can.
How to Order a Photo Quilt: We try to make ordering from QuiltStories.com quick and easy. Just fill out the Order Form. You will receive an immediate e-mail confirmation of your order.
Soon after submitting your order, you will receive a personalized order confirmation, listing details of your photo quilt creation. This personalized order confirmation will include, order number, shipping cost, total price, payment options, photograph information and lots of other information. Your personal order confirmation will include a request for a 50% layout and design payment to confirm and schedule your order.
Once we receive your partial payment, we will provide you with a link to your personal web page so that you may upload photos, select basic fabric colors, view uploaded or mailed photos, help us arrange your photo layout, view your selected fabrics for approval and view the creation of your photo quilt from beginning to end.
Your Personal Web Page will be available within 1 business day or less after we receive your order confirmation payment.

How to Pay QuiltStories: We accept major credit cards, debit cards, check, e-check or money order. Credit and Debit Card payments may be made directly from our "Payment" menu. We will NEVER ask for any financial information via e-mail or phone.

Credit Card payments should always be made directly from our site and never from an e-mail link. Check and Money orders can be mailed to our business address listed on your order confirmation. QuiltStories will request a 50% payment on your personal order confirmation with the balance due (may include additional charges for monogramming or embroidery) prior to shipping. For your security, credit, debit and e-check cards are processed through PayPal directly from our site. You DO NOT have to create a PayPal account to pay through PayPal. PayPal is our safe, secure credit card processing authority. By using PayPal, You and QuiltStories will receive immediate confirmation of payments.
Your Personal Web Page: Your personal web page is a window to your purchase. Soon after receiving your confirmation payment, we will send an e-mail containing a link to your Personal Web Page.
This web page contains information about your order and can be viewed by anyone having access to the link. We will be placing views of your original photographs, asking you to assist us in arranging your photos, posting a photo layout for you to see, approve or change, views of fabrics selected for your creation and the best of all....
We will post photographs of your photo quilt during construction. You will know exactly what is happening with your order. We put a lot of time and effort to make sure you are as happy and excited with your purchase as we are creating it for you. You can send your personal web page link to family and friends so that they may view your photo quilt during the process.
Photographs: The Photos you send can be hard copies or digital. Photo's may be most any size and any orientation, however, we cannot scan photographs larger than 8 1/2" x 14".
We will provide a convenient link on your Personal Web Page so that you may UPLOAD your digital photo's directly to our site. We DO NOT recommend sending your photos in a PDF format. Hard copies may be sent directly to our business address listed on your order confirmation.
Your precious photo's will be handled with extreme care and returned with your order. We prefer the very best hard copy or digital photo you can provide. We recommend copies but if you choose to send us your originals, Quiltstories.com does not accept liability for loss or damage by our return carrier, the U.S. Postal Service.
Be assured that we will exercise extreme care with your photographs. Hard copies, that have been sent to us, will be returned with your order. As a courtesy to our wonderful customers, we will attempt to maintain a digital copy of your photos for up to one year after your order has shipped.
Poor quality photo's or very small photo's may result in poor quality photo fabric printing. We use high density digital scanning which will also transfer cracks, tears and flaws onto the fabric printing process. We attempt to remove obvious flaws if it does not require too much time. There may be additional nominal charges if your photo's require lots of enhancement. We will never add charges without consulting with you first.
Your photos are printed on Cotton Fabric. We DO NOT use IRON-ON peel off fabric sheets. Each Fabric Printed Photo is then bordered by your selected fabrics to create a beautiful photo quilt square that is used with other photo quilt squares to create your photo quilt top.
Shipping and Handling: Shipping/Handling charges are fixed rate and very reasonable (Continental US Only). Other destinations are charged based on actual shipping cost. All of our photo quilt creations are shipped via USPS with delivery confirmation. Delivery Confirmation is proof of delivery to the address given on your order form. Quiltstories.com uses the U.S. Post office delivery confirmation notice as the final confirmation of delivery and cannot be held responsible for lost or stolen shipments.
Storing Your Photo Quilt: Fabrics and photos can be permanently creased with improper folding. If you are going to store your quilt, we recommend folding in such a manner that will prevent the fabric printed photos from being creased. We recommend folding lengthwise in columns, starting on each side, so that no photo is creased and then folding in an accordion manner along some of the sew lines between each photo. Never fold across a photo.
Photo Quilt Washing Instructions: Your Photo Quilt will come to you clean and ready to display/use. Our Photo Quilt Creations are machine quilted, well constructed and are washable on delicate/cold cycle with a very mild detergent. We recommend ivory liquid.
Do not use bleach, detergents that may contain any type of softening chemicals, perfumes, hot water or have your photo quilt dry cleaned. QuiltStories.com highly recommends washing with high capacity front loading machines on delicate.
Do not wash your photo quilt creations in any type washing machine that does not have a delicate setting. You may tumble dry at NO or VERY LOW heat or use line drying with sun protection. Do not wash your photo quilt with other items.
We Do NOT recommend the use of commercial washers or dryers as they may contain left over chemicals, may not be delicate enough, may be too hot or not as safe and clean as a personal washer or dryer.
Washing may result in fading, damage or destruction of the photos or fabric of your quilt. As with any fabric containing pigment inks, fabrics or photos may fade with time and repeated washing. Although QuiltStories has tested our photo quilts under many washing and drying conditions, QuiltStories has no control of the washing or drying methods used and assumes no responsibility for damage.
